Role Description

CarbonPlan is a nonprofit working on the data and science of carbon removal and climate solutions.

We aim to ensure the quality, scientific integrity, and transparency of climate solutions, and we work across a range of approaches — forests, soil, direct air capture, mineralization, energy systems, and more. We analyze solutions based on the best available science and data and build open source tools and data products. We work directly with decision makers across the public and private sector to help them achieve ambitious climate goals. You can read more about our work on our website.

As the Operations Associate you will be responsible for supporting our operational, financial, programmatic, and administrative functions. Reporting to the Operations Manager and supporting the team more broadly, you will help maintain our organizational systems, keeping us lean, flexible, and compliant.

You will support the Operations Manager in managing the day-to-day operations, with your responsibilities grouped into the following three categories.

Operational management and employee support

  • Support the hiring process through scheduling and information tracking across all teams
  • Facilitate new hire onboarding for all new employees
  • Track and coordinate employee reviews, birthdays, and team celebrations
  • Support in the planning of staff gatherings and retreats
  • Schedule external meetings for employees

Financial management and donor systems

  • Help organize and manage data and records related to fundraising
  • Support project leads on contract tracking, vendor relationships, invoicing, and record keeping
  • Support grant submission processes, tracking, and reporting (both governmental and philanthropic)
  • Help prepare materials for annual or semi-annual filings (e.g. non-profit related, tax related) and maintain records and documents
  • Support internal financial tracking in partnership with the accounting team

Programs support

  • Keep aspects of the CarbonPlan website up to date
  • Track and analyze Google Analytics reports on website traffic
  • Help with logistics for occasional external-facing events (e.g., webinars)
  • Maintain organization and consistency of internal databases (Notion, etc.)
  • Support additional special projects as needed

Requirements

You should have:

  • Passion for our mission
  • 3 years of experience in an operations or administrative role (experience within the non-profit sector is welcome, but not required)
  • Excellent interpersonal and communication skills (verbal and written)
  • An extremely high bar for integrity, clarity, transparency, and accuracy
  • Demonstrated skills in Google Workspace (Docs, Sheets, etc.)
  • Ability to take initiative and ensure work is delivered on time and to a high standard
  • Active listening and proactive learning skills
  • Flexibility to adjust to changing priorities and timelines
  • Dedication to supporting the team and solving problems no matter how big or small
  • Excitement to take on new challenges and learn new skills
  • Compassion and respect for others and a passion for helping those around you

You’ll be an especially good fit if you have:

  • Familiarity with a variety of software-enabled organizational services (e.g., Gusto)
  • Familiarity with project management and organizational documentation software, such as Notion
  • Familiarity with basic graphic design software (InDesign, Illustrator, Figma, etc.)
  • Experience with grantmaking processes (proposals, reporting, etc.)

Benefits

We are committed to providing competitive compensation and comprehensive benefits to our employees. We offer fixed salary levels based on experience and role to minimize biases in compensation and to ensure team members are paid the same for doing the same work. Employees are eligible for promotion or salary increases every six months at the time of their performance review.

We expect this position to be a regular, full-time position, with an annual salary of $90,000 USD based on the experience required for the role. In addition to salary, we offer a comprehensive set of benefits to all full-time employees:

We are not currently able to sponsor a visa for this position, and therefore can only consider applications from people who are already authorized to work in the United States. CarbonPlan employees are based primarily in the San Francisco and Seattle areas, although the entire organization has worked remotely since its inception and CarbonPlan expects to maintain a remote work option indefinitely. The hiring manager for this role is in the Portland, OR area. Remote work from any location on Pacific or Mountain Time works for us!
