We’re seeking an Operations Associate to support the scale up of our facilities and coordinate with external partners. You will be responsible for a wide range of internal and external facing coordination of facilities, onboarding, events planning and administration. This job will work with every group in the company and is highly cross-functional. The successful candidate has 2+ years of startup operations experience and an associate’s or college degree.
This is a full-time position in Menlo Park, CA, with a competitive salary and stock options. Priority will be given to local applicants with the status for US employment.
What You’ll Do
Site/Facilities
- Keep our sites running like a smoothly oiled machine: order and stock supplies, maintain order, and report on status for office spaces, common areas and some parts of our lab areas.
- Site upgrades and construction: plan for new offices, lab space and meeting spaces; relocate furniture and assets from one site to another as needed; review janitorial service performance.
- Site upgrades:install displays and visuals; update internal communications online and in hard copy.
- Track equipment: track what’s ordered, what’s en route, what’s delivered; send vendor reminders and ask for tracking info; coordinate delivery/receiving (rigger, forklift, truck access); update equipment list and value for each lab to update insurance coverage; update amperage use after new equipment is added to each site.
- Lead short company tours: greet key guests and vendors, offer amenities, and provide an overview of the company as directed.
**Onboarding **
- Execute the team’s iterative onboarding process with the hiring manager.
- Set up computers, desk, furniture and other hire-specific needs.
- Be a friendly, trusted contact for new employees in their first three months.
Events & Amenities
- Create and execute custom-themed events with the team.
- Order, procure, prepare and clean up lunches.
- Manage audio-visual for company-wide events and presentations.
Administration
- Finalize posters/visuals for printing: check for grammar/spelling errors, check for content visual clarity and alignment, ensure nothing will be cut off in the desired dimensions, submit to printing services, pick-up printed materials, and secure them in desired locations.
- Organize files and folders on Google Drive as directed.
- Source products, vendors and service providers.
- Contact vendor support to troubleshoot problems when needed.
- Complete other activities and tasks to support the company.
About You
- An associate’s or college degree
- 2+ years of relevant work experience
- Experience working at a startup
- Experience working with project teams at multiple sites and multiple organizations
- Excellent problem-solving and analytical skills
- Excellent written and verbal communication skills
Nice to Have
- Experience working with business management technology platforms (google drive, slack)
- Experience implementing new technology platforms (setting up slack, for example)
- Process-driven
- Strong interest in solving the plastic waste problem
- Experience giving tours/public speaking/outward facing presentations
