About the Role

Located within the Business Operations team, the Proposal Manager will be a primary resource to support Swiftly Sales and Renewals teams with formal proposal processes. This role includes both proposal writing and management.

You will develop a deep understanding of our products, partners, and partnership strategy, and work on procurements from a variety of countries and transit agency types. We have responded to dozens of RFXs, and you will own our existing and expanding library of resources, past responses, and process documentation - and make it better. Although we have an existing process, you will have the opportunity to deeply understand each internal department, and the business’ needs, and to develop the resources and processes that will best support you and the team. This is a dynamic, mission-critical role that will require you to handle a high volume of requests simultaneously and productively.

The ideal candidate for this position will possess common sense and intelligence, get along well with others, be an excellent writer and editor, possess efficient work habits, excel in managing multiple projects and deadlines concurrently, and be a dependable self-manager.

The Proposal Manager will report to the Senior Capture Manager and work with Sales, Renewals, Product Marketing, and Partnerships to source any information required.

Swiftly's office is located in San Francisco, CA. San Francisco, CA and Denver, CO would be the preferred locations however we are open to remote. #LI-remote

Your duties as a Proposal Manager will include, but are not limited to:

-  Source and review RFPs/RFQs and other Sales proposal/SOW requests 
- Continually look for ways to improve the quality of our proposal submissions, as well as our proposal tools and processes. 
- Collect and organize proposal-related information, including project descriptions, resumes, proposal language, and more. This information should be kept up-to-date, well-written, sensibly organized, cleanly formatted, and easily accessible in Loopio. 
- Help to enforce Swiftly’s go/no-go process with the goal of allocating resources to the highest probability pursuits. Manage and lead simultaneous proposal responses from start to finish. 
- Work with team members/SMEs across the company, as well as teaming partners, to develop required proposal information. 
- Produce work of the highest quality and accuracy; produced materials should be well-written, cleanly and consistently designed, and give off an overall impression of expertise, good taste, and professionalism.
- Research and write original material, including project descriptions, resumes, technical language, and more; writing should be clear and compelling while editing materials produced by proposal team members/SMEs, with an eye toward clarity, consistency, accuracy, and adherence to RFP requirements.
- Work successfully under multiple strict deadlines. 
- Provide any kind of necessary support, including packaging, shipping/delivering proposal packages.  
- Work collaboratively with product marketing on competitor analysis and positioning.

Add you:

- 2-5 years of RFP/proposal writing or industry experience, ideally with highly technical solutions or products (SaaS a plus).
- Detail-oriented with excellent project management and organizational skills.
- Able to prioritize work and handle multiple tasks to ensure that complex projects are completed on deadline.
- Excellent and highly productive writer of professional-grade material, preferably regarding Software-as-a-Service (SaaS) software or transportation.
- Willingness to learn about the technical inner workings of our system - experience with technical writing not required, but technical curiosity is. 
- Strong interpersonal skills as well as the ability to work independently and as part of a team.
- Demonstrated experience coordinating and managing large or cross-departmental projects.
- Demonstrated initiative and good judgment as well as the ability to work well under pressure and with time constraints.
- High level of professionalism, especially with confidential and sensitive issues.
- Demonstrated quality of service with attention to accuracy and responsiveness.
- Demonstrated desire and ability to learn technical info, including details of transit operations and planning, cloud-based software, and open APIs. 
- Very comfortable using standard document development and sharing tools, such as Google Docs, Word, Adobe, and ability to learn additional tools. 
- Positive mindset and proactive communicator. Today, much of Swiftly’s team is remote, and we communicate asynchronously using tools like Slack, Google Docs, and Notion. This requires over-communication, documentation, and of course, some grace.
- Independent problem-solver. Especially while the workforce is entirely distributed, it’s important that you are resourceful and tackle new challenges as opportunities to learn.
