At Clean Energy Ventures we’re beating back climate change through innovation. We fund disruptive, capital-light technologies and business model innovations that can reshape how we produce, manage, and consume energy. Each climate tech startup we invest in has the potential to significantly reduce the risk of climate change by reducing at least 2.5 gigatons of greenhouse gas emissions between our investment and 2050, while earning top venture capital returns.

We have a long history of investing in this space. Since 2005, our leadership team has invested in over 40 climate tech startups. Over 80% of our portfolio companies also have an investment from a large multinational company. Beyond funding, we provide hands-on guidance to the startups in our portfolio through dedicated leadership coaching, strategic marketing, IP development, financing and active board participation. Our 20 Venture Partners guide our startups and enhance our value with their deep technical and operating experience.

We are currently expanding our firm and raising a new fund with the intention to invest in more companies and new regions. We are hiring new team members to support this exciting next stage of growth.

Position Description

We’re looking for an Executive Assistant who can ensure the smooth-running of our team and office, working both on a one-to-one basis with our executives, but also on a wider basis with internal team members and external stakeholders such as portfolio companies, limited partners, and co-investors. The Executive Assistant will also coordinate executive outreach, external relations efforts, support external board roles, and oversee special projects.

The candidate will be creative and enjoy working within an entrepreneurial environment. The ability to exercise good judgment in a diversity of situations, exhibit strong administrative and organizational skills, leverage a high EQ, and critically assess how to balance multiple priorities are keys to success in this position.

Ultimately, you’ll contribute to the efficiency of our business by providing personalized and timely support to all team members.

Key Responsibilities & Accountabilities

  • You will control the calendars of our executives, understanding their priorities and meeting habits to help effectively manage busy schedules and competing priorities
  • You will coordinate in-person meetings and events, including internal social gatherings, quarterly retreats, an annual investor meeting, and our bi-weekly investment team meeting
  • You will be the first stop for inbound inquiries, managing the front-end for email and physical mail for the company and partners while understanding and directing urgent and important communications
  • You will support team members’ social media and other specific priorities as appropriate
  • You will make and manage travel arrangements
  • You will take notes during important meetings in order to concisely capture thoughts, conclusions and action items
  • You will manage invoicing in partnership with our Director of Finance
  • You will own a variety of vendor relationships, including our co-working space provider, software providers, and others
  • You will keep our team organized, for everything from file management to Slack etiquette
  • You will manage our meeting and calendar technologies, including controlling video conferencing software during meetings, booking conference rooms, and owning our company vacation and "out of office" calendar
  • You will provide support to our sister organization, Clean Energy Venture Group, as sometimes needed and instructed by their Executive Managing Director
  • You will be our pinch hitter, stepping in and stepping up when new needs arrive to drive effective and timely operation of our team and business

Qualifications & Experience Required

Qualified candidates will possess a strong combination of the following:

  • You have extremely high integrity with a strong reputation as honest, transparent, reliable, diligent, and trustworthy
  • You are tremendously well-organized, to the point of being able to help those around you to become well organized
  • You are a reliable, proactive teammate with high emotional intelligence, especially in contexts requiring teamwork
  • You have experience managing many projects and tasks simultaneously, and determining importance amongst competing priorities
  • You have strong ability to understand tone of communications necessary for appropriate communications within the team, and with our investors, portfolio companies and other stakeholders
  • You have managed information flow within an organization in a timely and accurate manner
  • You have professional experience as an administrative assistant, chief of staff, or similar organization- and coordination-oriented role
  • You have very strong written and oral communication skills

Clean Energy Ventures operates in a hybrid work environment when health and safety regulations permit. You will be expected to attend meetings in our Boston office at times as well as have the opportunity to work from home as needed.
