Who are you?

As the Receptionist, reporting to the Facilities Manager, you will be responsible for assuming all reception and secretarial tasks at the reception of our main entrance.

What can you expect from this role?

You will be responsible for keeping our MTL office looking incredible, operating efficiently and at scale as we grow rapidly, and ensuring the best possible experience for our team & guests. You will need to be able to handle requests and provide accurate information. The aim is to put guests and visitors at ease and to make them feel appreciated in our premises.

Responsabilités/ Responsabilities:

  • Maintain a tidy and organized reception area, keeping the office supplies cupboard stocked at all times
  • Responsible for guests signing our NDA
  • Greet and welcome visitors and contractors, informing Sheertexers that their visitor has arrived
  • Being available to answer employee, contractor or visitor questions
  • Dealing with walk-ins, directing visitors and taking messages
  • Receiving and dealing with inbound mail, parcels, etc
  • Monitoring office food and beverage supplies and reordering as required, coffee, milk, snacks, etc
  • Coordinating ad hoc office projects and events
  • Direct employees to the correct individuals to handle a variety of requests

Exigences/ Essential Requirements:

  • Previous reception or assistant experience
  • Bilingual: French and English
  • Computer literate, familiar with Google Workspace
  • Great communication and relationship management skills, with a welcoming personality, committed to providing an excellent customer experience
  • Strong organization and problem solving skills
  • Able to multitask effectively, able to prioritize tasks

Atout/ Desirable Requirements

  • Knowledge of communication tools (Slack), room booking systems (Envoy), and virtual meeting room technology (Zoom)
  • Experience with both Mac and Windows operating systems
