The Role

We are looking for an Executive Assistant to support and collaborate with our Executive Leaders here at Terabase. This person must be a highly organized individual with a positive, can-do attitude and a drive to make an organization-wide impact. The ideal candidate is an adept problem-solver, astute, tactful, remains effective under pressure, comfortable speaking their mind to leadership, and a strong relationship builder. Our Executive Assistant will tackle administrative tasks efficiently and with ease. It's important to be adaptable, have strong execution, resourcefulness, and ability to prioritize complex business and team member needs. This role will be responsible for keeping track of challenging schedules and our corporate calendar for executive, company-wide and board meetings, juggling multiple projects and priorities, and improving communication and cohesion within and between the executive team and the entire organization.

Responsibilities

  • Provide support to the CEO and the leadership team
  • Proactively manage and prioritize administrative needs and project, and act as the "right hand" to the CEO
  • Serve as a liaison across teams and work with departments across the company, promoting communication and collaboration as a culture carrier
  • Drive and support organizational efforts strengthening employee engagement and belonging
  • Project manage tasks and projects to ensure follow-up to action items
  • Manage multiple calendars, including scheduling meetings, arranging travel, prioritizing engagements, and supporting good time management
  • Support the day to day duties of the CEO and ensure items are prepared, organized and ready for all meetings or events
  • Track and monitor pending business issues for follow-up
  • Plan and facilitate department events including off-sites, happy hours, and celebrations
  • Assist as needed with presentations and meeting materials
  • Pitch in to help with miscellaneous projects as needed

Preferred Qualifications

  • 3+ years of administrative experience and enjoys working in a fast-paced environment, supporting at the Executive level
  • BA/BS or equivalent work experience, high school diploma or GED required
  • Outstanding organizational skills with high attention to detail
  • Excellent written/verbal communication and listening skills
  • Team player who works well under pressure with the ability to be flexible and adaptable in the face of changing priorities
  • Outstanding people skills, with the ability to effectively interact with all levels of an organization as well as with external customer, supplier and investor representatives
  • Proficient with MS Office
  • Excellent problem-solving and prioritization skills, with the ability to anticipate needs
  • Self-starter with a positive attitude, a strong sense of urgency, and the desire to do the right thing
  • High degree of discretion when dealing with confidential information
  • Demonstrated ability to prioritize multiple competing requests and create plans for achieving objectives
