FreeWire has deployed battery-integrated chargers with Fortune 100 companies, commercial customers, fleets, retail locations, and gas stations. In addition to its partnership with bp pulse, FreeWire and am/pm, a bp subsidiary and convenience store chain with over 1,000 locations, have already deployed multiple public charging stations in the U.S. FreeWire’s regulatory affairs and policy team keeps customers up to date on federal, state, and utility incentive opportunities, which in some cases cover up to 80% of the cost of the charging station, and the company recently announced that the Boost Charger is Buy America compliant. The Senior Executive Assistant is responsible for providing executive support for the CEO. The primary responsibility of this position is to create maximum efficiency for the CEO and to enable the CEO to focus on leadership, high level decision making, relationships, and company vision. This is a new role that an experienced Senior Executive Assistant can help define.  
The Senior Executive Assistant (SEA) serves as the primary point of contact for internal and external contacts on all matters pertaining to the office of the CEO; serves as a liaison to the Executive Staff; oversees special projects; and coordinates information flow, materials and logistics for board and committee/Executive Team meetings. This role requires professionalism and diligence in handling confidential and critical information about the company, its employees and investors with sensitivity and discretion. This is a critical role that will help enable the future success of the organization.

Principal Duties & Responsibilities

  • Manages CEO and other executive calendars, scheduling internal and external meetings, including recurring meetings with the board of directors, committees, advisors, direct reports, investors, customers / prospective customers, etc.
  • Schedules appointments and plans events related to CEO’s activities, meetings, appointments, etc.
  • Manages the CEO’s email and contacts in Google Suite and ensures the appropriate preparation and follow-up for appointments and communication with external parties. Is accountable for making sure that all critical emails and matters that come to the CEO are addressed and responses are provided in a timely manner
  • Ensures CEO is briefed on objective and goals of each meeting and well prepared with notes, printed material and presentations where applicable
  • Attends meetings with the CEO, records and files meeting notes/minutes, drives and tracks the execution of resulting action items
  • Optimizes CEO’s time by reading, researching, and routing all email correspondence; drafting letters; creating presentations and documentation; collecting and analyzing information; initiating communications; addressing administrative tasks of all kinds (e.g., repairing computer, work related errands, etc).
  • Manages the CEO’s company wide, client, and public appearances, prioritizing and preparing for key meetings and events - covering every detail.
  • Develops/coordinates building of PowerPoint decks for internal and external meetings (conferences, workshops, townhalls, site visits, etc.); prepares all material for CEO prior to such engagements
  • Prioritizes CEO’s tasks (based on set of rules) ensuring deadlines are met
  • Collaborates with Marketing to manage CEO’s social media accounts (creating content, responding and interacting on CEO’s behalf, keeping CEO up to date on important posts or opportunities, etc.)
  • Coordinates all aspects of domestic & international travel (flights, ground transportation, accommodations, renewing passports, global entry, etc.)
  • Other duties and ad-hoc projects as assigned by CEO

Required Qualifications:

  • 6-8+ years’ experience in a Executive Assistant role
  • Strong written and verbal communication and interpersonal skills
  • Deadline driven with accurate and effective execution (independently without reminders) on all assignments
  • Intermediate to advanced experience in both Google Suite and Office 365 products including Word, Excel, Visio and PowerPoint.
  • Ability to communicate effectively and remain calm and courteous under pressure
  • Very strong attention to detail and ability to multitask in a busy and fast-changing work environment
  • Social media content management experience preferred
  • Valid Driver’s License

Travel:
Job will require occasional domestic & international travel to accompany executives for meetings with clients and stakeholders or other events which may include overnight stays.

Location:
Company offices are located in Oakland, CA and Newark, CA (Headquarters), and travel between locations may be expected. This position requires visits to offsite locations frequently using personal vehicle.
