Job Description
Lilac Solutions, Inc. is growing fast, and we are seeking a recruiting coordinator excited about helping to continue to scale our team. Reporting to the Director of People, the recruiting coordinator will be responsible for posting job descriptions, scheduling phone and on site interviews, assisting candidates with onsite visits, and conducting reference checks and the occasional phone screen.
The recruiting coordinator will be exposed to and interact with leaders across every department across the company. Due to the nature of the work, the recruiting coordinator needs to be based on site at our Oakland office with the occasional opportunity to work remote.
What you’ll do…
- Coordinate the workflows of the ATS, ensuring all hiring managers have appropriate access and training on how to use.
- Draft, edit and post job descriptions; work with Lilac team to promote open jobs to their network.
- Manage Greenhouse software, ensuring information within is accurate and clear.
- Obtain information from recruiter and hiring managers on recommended candidate placement and executing accordingly.
- Act as liaison between candidates and hiring managers to keep both parties informed on most up to date stages of the pipeline.
- Schedule candidates for interviews with multiple hiring managers including phone screens and onsites.
- Conduct reference checks of candidates in a timely manner to ensure rapid movement of the pipeline.
- Coordinate all candidate travel to Oakland headquarters using the TripActions platform and welcome candidates onsite.
- Move candidates through hiring funnel, providing candidates with quality candidate experience; with the Director of People, review candidate experience survey feedback and implement recruitment processes changes as needed.
- Assist the Director of People in training new hiring managers on Lilac Solutions, Inc.’s use of Greenhouse, our ATS.

- You enjoy talking to people and feel energized by making new connections – sometimes all day, every day – and can switch between different tasks easily.
- You have knowledge of, and ideally direct experience, managing the administrative component of an ATS, HRIS, or other CRM software.
- You like digging into the details, staying organized, and helping others keep on task.
- You are interested in the emerging renewable energy industry.
- You have experience managing complex schedules.
- You’re flexible and able to meet fast approaching deadlines.
- You have an associate degree; Bachelor’s degree is preferred.
